Venue management software
Venue management software,
from the tech pack to the settlement.
Venue management software should hold the whole house in one place: the tech pack, the hold ladder, every booking with the tour that plays it, the house crew and the settlement. VenueOps does that, for venues and venue groups.
What a venue runs on
Every job in the house, in one place.
The tech pack, entered once.
Keep the whole tech pack in one venue profile, with photos for each room and a meter showing what is still missing. Every tour that books you reads the same answers, so you stop sending the same PDF and answering the same rigging questions.
A calendar with a real hold ladder.
Hold dates as H1, H2 and H3 for each room, set expiry dates and dark days, and challenge a hold with a deadline. Private events sit on the same calendar, and confirming a hold makes it a show.
Open dates, shared with the tours you choose.
Share your open dates with everyone, or only with the companies you pick, and put them on your own website. Tours search your open dates and ask for holds from their routing.
Advancing on one shared page.
A booking opens one advance that you and the tour both work, and stage, power, parking and Wi-Fi come straight from your tech pack. When both sides mark it complete, it is confirmed by both.
Bookings with a checklist.
Every booking shows what is done and who owes the next step: date, deal, memo, rider, insurance certificate, advance, deposit, counts and settlement. You see whether you or the tour is holding it up.
Counts and settlement with the tours that book.
Type counts in, import the box office’s CSV, or paste its count email and check what AI reads from it before it is saved. Settle with your usual terms filled in, keep your own private lines beside the shared ones, and both sides sign.
The house crew, on the same calendar.
Build the week for box office, bar, security, front of house and production, and a confirmed show adds its positions from your crew call. Crew clock in by badge or on their phone, payroll splits the hours into straight time, overtime and double time, and you pay nothing for them.
Room rentals, without the second inbox.
Price a proposal from each room’s rate card, and the client reads it on a private link and accepts with no account. An accepted proposal becomes a rental on your calendar, and no show or hold can land on it.
How it works
Tech pack, holds, booking.
- 01 Enter the tech pack once. Import the one you already have, and AI fills in the profile for you to check. Every tour that books you reads the same answers.
- 02 Hold the ladder and share your open dates. Tours search them and ask for holds from their routing, and when a hold confirms, the booking shows who owes the next step.
- 03 Work the booking on one shared page with the tour: one advance, one set of counts and one settlement both sides sign.
Who it is for
The house, and everyone who books it.
Venues and venue groups run the house on VenueOps. The tours and festivals that book you work the date from TourOps and FestivalOps, and a promoter who buys the room is the buyer on your booking from PromoterOps, each on one shared page with you. Each company sees only its own part.
A tour already sent you a GigOps advance? Claim your venue at the bottom of the form, and your venue comes onto GigOps with the advance already linked.
Questions
Before you move the house onto GigOps.
- Does venue management software handle holds?
- VenueOps does. Hold dates as H1, H2 and H3 for each room, with the date each hold runs out. When a second hold wants the date, the first has until the deadline to confirm or let it go, and confirming a hold makes it a show.
- What does venue management software cost?
- $39 per user / month for the people who change things. View only seats are $0. Crew are always free. 7-day free trial. The box office, bar, security and production crew you schedule are crew, so you pay nothing for them.
- Can venue booking software share my open dates with agents and tours?
- Yes. Grant your calendar to the agents and tours you work with and keep it from everyone else, or share your open dates with everyone and put them on your own website. Your public venue page shows the tech pack, room photos and open dates, and anyone can ask for a hold from it.
- Does it work for a venue with more than one room?
- Yes. Add any number of rooms, each with its own capacity, tech, photos and seating layouts, and see every room you run on one calendar. Your GigOps calendar shows up in Google, Outlook or Apple Calendar, and your outside calendars show up in GigOps as private events or dark days on the room they belong to.
- Does venue management software include a house crew schedule?
- In VenueOps it does, on the same calendar as your shows. Build the week by department, post open shifts, approve swaps, clock crew in by badge or phone, and run payroll from the hours the clock recorded. Your house crew use the free crew app.
