Questions

Questions before you start?

Who needs a paid seat?
Anyone who adds or changes things. Someone who only reads can have a free View only seat, and crew are always free.
Who counts as crew?
The people working the show, who use the GigOps Crew app for their schedule, pass, travel and time card. Your office team are Company Users.
Do a venue’s house crew need paid seats?
No. The box office, bar, security and production crew a venue schedules in VenueOps are crew. They see their shifts, pick up open ones and clock in with GigOps Crew, free.
Can I change someone’s seat later?
Yes. A Company Admin can switch anyone between making changes and View only at any time. The bill follows the number of people who can make changes.
What happens when the trial ends?
Billing starts for your paid seats. Cancel any time from the billing portal.
Do the other companies on a show pay for us?
No. Each company pays for its own seats. People who only sign a document you send, and vendors who list in the marketplace, pay nothing.
Is there an API, and does it cost extra?
There is, at no extra cost. A Company Admin makes API keys for your company, each limited to what it may read, and sets up webhooks that tell your systems when shows, bookings, counts or settlements change.
Does GigOps work with QuickBooks Online?
Yes, once a Company Admin connects your own QuickBooks Online and matches your account codes to its accounts. Approved costs then go over as bills and locked settlements as journal entries.
Can we sign in with our own identity provider?
Yes, with single sign-on over OpenID Connect, once a Company Admin sets it up. You can require it for everyone but owners, who always keep their password.
What happens to my data if I leave?
It stays yours. Cancel from the billing portal and access runs to the end of the paid period. Closing the account deletes nothing. Email hello@gigops.ai for a copy of your company’s data in one file, or to delete it for good, which is done within 30 days. You can also export schedules, budgets, payroll and settlements yourself, as CSV or PDF, at any time.
We run on spreadsheets today. How long does setup take?
Sign-up is five short steps: your company, your account, your team, your first tour and launch. You can skip ahead and come back. Much of what you have does not need retyping: paste a venue’s tech pack, a box office count email or a list of athletes and GigOps fills in the fields for you to check, and import your chart of accounts from a CSV or Excel file. Book a demo to walk through your own show with us.
Who runs GigOps, and what if you’re hit by a bus?
Graham Sauser built GigOps and runs it day to day: in live and touring entertainment since 2012, with tours and shows in nearly every major arena and stadium in the USA and Canada and in more than 25 countries (the full story). Your shows never depend on GigOps alone. The data is backed up every day, your schedules, budgets, payroll and settlements export as CSV or PDF at any time, and hello@gigops.ai sends you a copy of all your company’s data in one file on request. Write to that address with anything, and you get a reply the same week.

Your data

Who can see your show data.

Your show data lives once, and only your company sees it. Another company sees only what a booking, a promoter link or a festival link shares between you, and nothing else. Cancel any time, and your schedules, budgets and settlements export as CSV or PDF.

Two-factor sign-in.

A code from an authenticator app at sign-in, which your company can require for everyone.

A role for every person.

Each role can edit, only view, or not see each part of GigOps, and a Company Admin can change that for one person.

Bank details stored encrypted.

Bank details on festival advance forms are stored encrypted. Only the last four digits show, and every time someone reveals the rest, it is logged.

An audit trail nobody can edit.

Company Admins see who changed access, roles, pay rates and shared links, and when. Nobody can edit or delete the record.

Support without the figures.

When GigOps Support opens your account to help, every money and ticket figure is hidden before it reaches their screen.

Backed up every day.

The database is copied every day, and each copy is checked before it is kept.
