Vendor village

The vendor village is your list of stalls on the festival site: food, beverage, merch, craft, sponsor activations, info points and services, with each one's booth, utilities, fees and contact. In the left menu, under Festival, choose Village. It belongs to FestivalOps (in ActionOps it is called Activations). Owners, admins, managers, ops and coordinators can edit it; Finance, Legal and View only seats do not see it unless a Company Admin gives them access.

How do I add a vendor to the village?

  1. At the top of the left menu, under Festivals, pick the festival.
  2. In the left menu, under Festival, choose Village.
  3. Choose Add vendor.
  4. Type the Vendor / business name (required).
  5. Pick a Category and a Status (new vendors start as Pending).
  6. Fill in Location / booth, Space size, Power, Water and Load-in as you know them.
  7. Add the money: Booth fee, Amount paid and Rev share %.
  8. Add the Contact name, Email, Phone and any Notes.
  9. Choose Add vendor.

How do I find a vendor in the marketplace and add them?

  1. In Village, choose Find vendors. This opens Vendors > Marketplace, filtered to festival vendors.
  2. Open a listing to see its services, past clients and contact.
  3. Choose Add to village.

The vendor lands in the village as Pending, and the listing then says "In the village". You can also choose Request a quote from the listing. Find vendors only works if you have access to the Vendors module.

How do I change a vendor's status?

On the vendor's card, pick the new status in the dropdown at the bottom right: Pending, Confirmed, On site, Settled or Cancelled. It saves straight away. You can also open the vendor and change Status there.

How do I edit or remove a vendor?

  1. On the vendor's card, choose Open (or the vendor's name).
  2. Change any field and choose Save.

To remove a vendor, open it, choose Delete and confirm "Remove this vendor from the village?". If you only want to stop counting them, set the status to Cancelled instead: cancelled vendors stay on the list but drop out of the totals.

What do the numbers at the top mean?

Each card shows Fee, Paid and either Due with the balance or Paid in full.

How do I track booth fees and payments?

Enter the agreed Booth fee and, as money comes in, update Amount paid on the vendor. The card's Due amount and the Outstanding total update when you save. Rev share % records a revenue-share deal on the vendor; it is a note of the terms and does not change the balance. Amounts show in the festival's currency.

How do I filter the village?

Use the two dropdowns above the list: All category to pick one category (Food, Beverage, Merch, Craft, Sponsor, Activation, Info, Service, Other), and All status to pick one status. If nothing matches, the list says "No vendors match the filter".

Why can't I add or edit vendors?

Writing to the village is limited to owner, admin, manager, ops and coordinator roles. Finance, Legal and View only seats can read it at most, and only when a Company Admin turns it on for them. Adding a marketplace vendor to the village also needs edit access to the village.
