Operations
Transport
Transport runs your crew shuttles: scheduled runs with a driver and stops, ride requests from crew, and a live map of drivers on shift. In the left menu, under Operations, choose Transport.
Transport is in TourOps, FestivalOps, ActionOps and CoralOps (not VenueOps or PromoterOps). Company Admins and Company Users with the Manager, Ops or Coordinator role can use it; Finance, Legal and View only seats do not see it unless a Company Admin turns it on for them. Drivers and riders are crew members, who use the Transport tab in GigOps Crew.
How do I schedule a shuttle?
- In Transport, click Schedule shuttle (top right).
- Give it a Name (for example AM Crew Shuttle).
- Pick a Driver. Crew in the transport department are listed first, marked "driver".
- Pick the Show / city (for hotel list) so the stop list offers that show's hotels and venue.
- Under Schedule, choose One-off and set the Date and Start time (or see recurring shuttles below).
- Add the Stops (at least two), then the Vehicle, Seats, Status and Notes.
- Click Schedule.
The run appears on the Schedule tab. The driver sees it in GigOps Crew.
How do I set up stops on a shuttle route?
In the shuttle form, under Stops:
- For each stop, pick a hotel of the chosen show, the show's venue, a site map pin (festivals and events), or Custom address… and type the address.
- In the +min box, enter how many minutes after the start time the shuttle reaches that stop (for example Hotel 1 at 0, Hotel 2 at 10, Venue at 30).
- Click + Add stop for more stops, or × to remove one. A shuttle needs at least two stops.
- Tick Loop back to the first stop if the route returns to where it started.
Tick Show stops on map to see numbered pins and the route line before you save; click Update pins after changes.
How do I set up a recurring shuttle?
- In the shuttle form, under Schedule, click Recurring.
- Under Repeat on, click the days it runs (Su to Sa).
- Under Start times, set each time the route leaves the first stop. Click + Add start time for more (for example 08:00 and 17:00).
- Add the stops and click Schedule.
Recurring shuttles always show under Upcoming. The stop times follow each start time using the +min offsets.
How do I make a shuttle private?
In the shuttle form, tick Private. Other crew then cannot see the run. Company users, the driver, the crew member whose request is on it, and anyone you add under Shared with still see it. Hold Cmd or Ctrl to pick several people under Shared with. Private runs show a PRIVATE badge.
How do I edit, cancel or delete a shuttle?
On the Schedule tab, click Edit on the run to change any field, including Status (for example cancelled or completed), then click Save. Click Delete and confirm to remove it. Use Upcoming and All above the table to switch between runs still to come and every run.
How do crew request a ride?
Crew request rides from the Transport tab in GigOps Crew, under Request a ride: pickup, drop-off, when, party size, notes, and an optional Private tick. Requests land on the Requests tab here, and the Pending requests stat counts the ones waiting. Crew can cancel their own request while it is still pending.
How do I approve or assign a ride request?
- In Transport, open the Requests tab.
- For a quick answer, click Approve or Deny.
- To do more, click Manage. You can edit the Pickup, Drop-off, When, Party and Notes, choose a run under Assign to shuttle run (driver), change the Status (pending, approved, denied, scheduled, completed or cancelled), tick Private request, and add people under Shared with.
- Click Save.
People you pick under Shared with are added to the assigned run so they can see it. Click × or Delete to remove a request.
How do I see where the drivers are?
Open the Live map tab. Each on-shift driver is a dot on the map, and On shift now lists them. Click a dot or a name to zoom to that driver and see their current run and next stop. The On-shift drivers stat counts them.
Drivers only appear while they are on shift and sharing their location. A driver who has not sent a location for about 15 minutes drops off the map. The map needs Google Maps to be set up for your workspace. To see drivers and runners together, use Dispatch.
How does a driver go on shift and run a shuttle?
In GigOps Crew, a driver opens the Transport tab and taps Go on shift & share location (their phone asks for location permission). On each assigned run they step it through Accept run, En route to the first stop, Arrived at each stop, and Complete. You see the status change on the Schedule tab. They tap End shift & stop sharing when done.
Crew in the transport department, or anyone assigned as a run's driver, count as drivers. Other crew can tap Track live & next stop on an active run they can see.
What do the shuttle statuses mean?
- Scheduled: booked, not yet accepted by the driver.
- Accepted: the driver has taken the run.
- At pickup, Boarding, En route, At drop-off, Arrived: where the run is now.
- Completed: finished.
- Cancelled: not running.
Why can't I see Transport, or why can't I schedule shuttles?
Finance, Legal and View only seats do not see Transport by default. A Company Admin can change this per person in Users & access, using Access on that person's row. Scheduling, editing and answering requests need edit access (Company Admins, Manager, Ops and Coordinator roles by default). Transport is not part of VenueOps or PromoterOps.
