Ticketing

Ticketing keeps the ticket counts for every show: tickets sold, average ticket price, gross in the local currency and in US dollars, and sell-through against capacity. These counts feed Settlement and the CFO view. In the left menu, under Money, choose Ticketing. It is in every product except CoralOps. Owner, Company Admin, Tour Manager, Finance, Legal and Ops seats can add and change records; Coordinator and View only seats can read them.

How do I add a ticket count?

  1. Choose + Add ticket record.
  2. Pick the Show. If the show has several performances, pick the Performance, or All performances (show total).
  3. Set the Date entered.
  4. Enter Tickets sold and the Average ticket price (local). Gross sales (local) works itself out.
  5. Pick the Local currency. The FX rate → USD fills in from your FX rates.
  6. Add Notes (comps, holds and so on) if needed.
  7. Choose Add record.

You can also add a record from a show's ticketing page with + Add ticket record.

How do I edit or delete a ticket record?

On the record's row, choose Edit to change it and Save changes, or Delete to remove it. Records another company reported, and daily wraps, are changed elsewhere (see below).

What do the columns and totals mean?

Each row shows the show, Date entered, Sold, Capacity, Variance (sold minus capacity), Sell-through, ATP, Gross (local), Cur, FX→USD and Gross (USD). The cards above the table add up Tickets sold, Capacity, Variance with sell-through, Gross (USD) and Blended ATP (dollars per ticket). Capacity is counted once per show or performance, however many records it has.

How do I see one show's tickets?

Use the Filter pickers above the table to choose a show and, if it has them, a performance. Clear filter shows everything again. For a fuller view of one show, open the show and its ticketing card: it shows the show's totals By performance or Combined, its ticket records, and Manage in ticketing to come back here.

Why is a record "Not in the total"?

A show's total uses one count, never a sum of several. In order, it uses the venue's count reported on a booking, else the promoter's count reported on a promoter link, else your own records. When a reported count is in use, your own records for that show are still listed but marked Not in the total. The same rule is used by Settlement and the CFO view.

What does "Reported by" mean on a row?

The count came from another company: the venue through the booking, or the promoter through the promoter link. It is read-only for you, and they correct it on their side. If they are no longer on the show, the row says so and you can Delete it.

What is a daily wrap?

A wrap is the box office's running total at the close of a day: sold and gross to date, plus capacity, holds, kills and comps. Wraps are kept in Counts (PromoterOps), and the latest wrap becomes the show's own count here, shown as a Daily wrap row. To change it, choose Open Counts on that row. A wrap entered on a show linked to a tour is also reported to the tour on the promoter link.

How do I pull counts from a ticketing system automatically?

  1. Open the show's page and find Ticket counts from the box office.
  2. Choose Add feed.
  3. Pick the Provider: Eventbrite (enter the Event ID) or a JSON feed URL (enter the Feed URL). Providers that are not set up for your workspace are greyed out. A JSON feed is fetched as it is, with nothing added, so if its numbers should not be public, put a token of your own in the URL.
  4. Give it a Label if you like, then choose Add feed.

GigOps pulls sold and gross into the show's count on a schedule (every six hours by default). Each feed shows its last pull, whether it worked, and the sold and gross it got. Use Pull now to pull at once, Pause or Resume to stop and restart it, and Remove to delete it (counts already pulled stay on the show). On a show kept in daily wraps, each pull is saved as that day's wrap.

How are ticket counts converted to dollars?

Each record stores the rate to US dollars from FX rates at the time you saved it. Add the currency under FX rates first if it is not in the Local currency list. Counts another company reported convert through your current FX rates.

Why can't I add ticket records?

Adding and changing ticket records is for Owner, Company Admin, Tour Manager, Finance, Legal and Ops seats. Coordinator and View only seats can read them. Adding a ticket feed is for seats that edit show content (Owner, Company Admin, Tour Manager, Ops and Coordinator).
