Signatures
Signatures is GigOps Sign: you send a PDF, a contract, a settlement or a deal memo for signature, choose who signs and in what order, and get back a sealed copy where every page and signature carries a QR code that proves who signed and when. In the left menu, under Plan, choose Signatures. Every paid seat can send documents (Owner, Company Admin, Tour Manager, Finance, Legal, Ops and Coordinator); View only can read the list. Signers do not need a GigOps account.
How do I send a PDF for signature?
- In Signatures, choose + Send a document.
- Choose the PDF (up to 20 MB) and give it a Title.
- Pick a Show (optional) if it belongs to one.
- Choose Upload and add signers.
- Add who signs, place their fields on the pages, and choose Send for signature (see the sections below).
Nothing is sent until you choose Send for signature. Drafts save themselves as you work. You can also start from a PDF in Documents with its Send for signature button.
How do I add signers?
In the draft, under Who signs:
- Choose + Add signer (or + Add me to add yourself).
- Fill in their Full name and Email.
- Add a Role (optional), and Signs for a company (optional) if they sign for a business; they then confirm they are authorized to sign for it, and the certificate says so.
- Under They confirm who they are with, pick Just the emailed link, A code by email, A code by text (enter their mobile number) or An access code you give them (set a code of 4 to 20 characters and tell them yourself; it is never emailed).
Remove takes a signer off, with their fields. A document can have up to 20 signers.
How do I set the signing order?
With two or more signers, tick Sign in this order. Each signer then gets the link only when the one before them has signed, in the order listed. Leave it unticked and everyone gets their link at once.
How do I place signature fields on the pages?
- On a signer's card, choose Place fields. Their colour shows on the fields you drop.
- Under Place fields, pick what to drop: Signature, Initials, Date signed, Name or Text.
- Click the page where it goes. Drag a field to move it, drag its corner to resize it, and tap it for its details.
- For a Text box, say What goes in it (for example PO number) and whether They have to fill it in.
Name and date fill themselves in. A signer with no signature field signs on the certificate page only. A QR code is stamped beside every signature.
How do I set a deadline or reminders?
Under Deadline and reminders, set Expires (never, or a number of days after it is sent) and Reminders (only when you send one, or every 1, 2, 3 or 7 days until they sign). Automatic reminders stop after six. When a document expires, everyone still to sign is told and their links stop working.
How do I send it?
Choose Send for signature and confirm. The document cannot be changed once it is sent. If a signer could not be emailed, a message says so; use Copy signing link on their card to send it yourself. Delete draft removes a draft that was never sent.
How do I see who has signed?
The list shows every document with its status (Draft, Out for signature, Signed, Declined, Voided, Expired), how many of its signers have signed, and when it was sent. The tabs filter it: All, Waiting on others, Drafts, Signed, Declined, voided, expired and Templates. Open a document to see each signer's status (Not sent, Sent, Opened, Signed, Declined, Suggested changes) and the Audit trail of everything that happened.
How do I remind a signer or send them their link?
Open the document. On a signer who has not signed:
- Send a reminder emails them again.
- Copy signing link copies their personal link to send yourself (the trail records that you handed it over).
- Sign now appears on your own place when it is your turn.
How do I change who signs?
On a signer who has not signed, choose Change signer, enter the new person's Full name and Email, pick how they confirm who they are, and choose Change signer. The old link stops working and the new signer gets their own, now or when it is their turn. A signer can also pass their place on from the signing page with Pass it to them.
What does the signer see?
The signer opens their private link, confirms who they are if you asked for a code, reads the document and signs at the end: they draw or type their signature and initials. They can also Suggest changes before signing, Decline to sign with a reason, or pass it to the right person. When everyone has signed, each signer and you get the sealed copy by email.
What do I do when a signer suggests changes?
Open the document: Suggested changes lists what they proposed, as redlines. Then either:
- Keep it as it is: the signers are told it stands as sent, and they can sign or decline.
- Make a new version (or, for a contract, tick the clause changes and choose Accept the ticked changes): change the PDF, settlement or deal terms and send the new version. It replaces this one, and the signers see what changed.
How do I send a new version, or cancel a document?
- New version makes a new draft with the same signers and fields: an uploaded PDF takes a new file, and a contract, settlement or deal memo is drawn again from the record as it is now. It replaces the old one when you send it. What changed shows the differences.
- Void stops a document that is out; give a reason, which the signers see. Their links stop working.
How do I download the signed copy?
Open the document and, under Files, choose Download signed copy (once everyone has signed) or Download original. The Files section also shows each file's fingerprint.
How does someone check a signed document with the QR code?
Anyone can scan any QR code on the signed copy, or open Verification page from the document. The page needs no account and shows the document's status, who signed and when, how each signer confirmed who they were, and the fingerprints. Someone can also type the code printed under the QR code, or drop a PDF they were given under Check a copy to see whether it is exactly the signed document. Copy its link copies the verification page's address.
Who can read the whole document on the verification page?
By default, anyone with a code can read the whole document there. Untick the box about the verification page (in the draft, or on a sent document) to show only its status, signers and fingerprints.
How do I use templates?
Open an uploaded document you send often, place its fields, and choose Save as template. Under the Templates tab, choose Use to start a new draft with the same PDF, roles and fields; you only fill in who signs. Rename and Delete manage templates; deleting one does not affect documents already sent.
How do I send a contract, settlement or deal memo for signature?
- Contract: in Vendors > Contracts, open the contract and choose Send for e-signature.
- Settlement: in Settlement, open the show and choose Send for signature. The settlement locks when the last signer signs.
- Deal memo: in Settlement > Deal terms, choose Send deal memo for signature (for a promoter or venue not on GigOps).
GigOps draws the PDF and opens it in Signatures as a draft. Add any missing email, check the fields, and send it. Settlements and deal memos signed by both sides inside GigOps (on a booking, a promoter link or an accepted offer) are sealed here as records too, with nothing to send.
Why can't I send documents?
Sending is for paid seats. View only can read the Signatures list but not send. A settlement or deal memo also needs edit access to Settlement, and a contract edit access to Vendors.
