Sharing
Share links
Share links are private web addresses you send to people outside your company so they can see or fill in one thing without a GigOps account: a venue's advance form, an offer for an artist's agent, a document to sign, the box office will-call list, a public schedule, a caterer's head counts, a media accreditation form or a results page. Each one is created where the thing lives (the show page, Catering, Offers, Signatures and so on). Creating, regenerating and disabling links needs edit rights in the module the link belongs to (see "Who can create and manage share links?"). View only seats cannot manage links.
How do share links work in general?
Most links open in a small window with the same controls:
- Copy puts the link on your clipboard to send by email or text.
- Open shows you the page as the recipient sees it.
- Regenerate makes a new link. The old one stops working immediately, so send the new one to anyone who still needs it.
- Disable link turns the link off. Anyone who has it loses access. Choose Create new link later to share again.
The first time you open the window, GigOps creates the link for you. Anyone who has a link can use it, so send it only to the people it is for. Each page opens with a short note saying who sent it and what it is for.
How do I send the advance form to a venue?
- Open the show and choose Advance.
- Choose Send to venue..., type the venue's addresses in Recipient emails (comma-separated), adjust the Subject and message, and choose Send. GigOps emails them the link. Draft with AI writes the message for you to edit.
- To send it yourself instead (by text or from your own email), choose Copy link... and use Copy.
The venue fills in the Show Advance form (load-in, soundcheck, doors, curfew, parking, power, Wi-Fi, hospitality and more) and chooses Submit advance. A venue that is not on GigOps yet can also choose Claim your venue on GigOps from it. When they submit, the advance shows as returned and you can choose Mark confirmed.
How do I stop a venue's advance link from working?
- Open the show and choose Advance.
- Choose Disable link and confirm.
The link already emailed to the venue stops working. You can send a fresh one any time with Send to venue... or Copy link.... Regenerate in the Copy link... window also replaces the link.
How do I send an offer to an artist's agent? (PromoterOps)
- In the left menu, choose Offers and open the offer.
- Choose Send to the agent (or Send revised offer after a counter).
- Set Open until and, if you like, a Message (optional). Draft with AI writes a cover note for you to edit.
- Choose Send.
If the offer has an agent email, the agent gets the link by email. If not, or if the email cannot go out, GigOps shows the link with Copy link so you can send it yourself. Later, Copy the agent's link on the offer copies it again. The agent can Accept (with a typed name), Counter or Decline, without an account.
How do I withdraw an offer or record an answer given by phone?
On the offer, choose Withdraw and confirm: the agent's link then says the offer was withdrawn. If the agent answered by phone or email, choose Record the answer, pick Accepted or Declined, add a note and choose Record. Accepted books the show just as the agent's own acceptance would.
How do I give a signer their GigOps Sign link?
When you send a document for signature, each signer is emailed their own private link. To hand a link over yourself, open the document in Signatures and, on the signer's row, choose Copy signing link. The link works for that signer only, and the audit trail records that you handed it over. Other buttons on the row:
- Send a reminder emails the signer again.
- Change signer lets someone else sign in their place; the old link stops working.
- Sign now appears on your own row and opens your link.
On their link, the signer confirms who they are if you asked for it, reads the document, then can Sign the document, Suggest changes, Decline to sign or Pass it to the person who should sign.
How do I stop all signing links for a document?
Open the document in Signatures and choose Void. Type a reason (the signers see it) and confirm. The signers are told and their links stop working. To try again, choose New version, which keeps the same signers and fields.
What is the QR code on a signed document?
When everyone has signed, GigOps seals the document with a QR code on every page and beside each signature. Anyone who scans it, or types its code on the Check a signed document page, sees the record GigOps holds for that document: what it is, who signed and when, its fingerprints and what happened. They can also drop in the PDF they were given under Check a copy to make sure it matches (it is checked in their browser and not uploaded). In Signatures, open the document and choose Verification page to see it, or Copy its link to send it. The box The verification page shows the whole document to anyone with its code decides whether that page shows the full document or a summary only.
How do I send the box office the will-call list?
- Open the show and choose Guest list.
- Choose Box office link.
- Choose Copy and send it to the box office.
The box office sees a live, read-only list of approved guests and ticks Picked up as each party collects tickets, so you can see who has arrived and newly added comps stand out. They use Refresh to see the latest list.
How do I put a password on the will-call or caterer link?
In the Box office link window (or the Caterer link window), find the password section below the link and choose Add password. The recipient then has to type the password to open the page. Later you can choose Show to look it up and re-send it, Change to replace it (the old one stops working), or Remove it. Add a password when you expect the link to be forwarded.
How do I share a public schedule for a show?
- Open the show and go to its Schedule section.
- On each item you want to share, choose Publish. Published items show a Public tag; Un-publish takes one off.
- Choose Share, then Copy.
Only items marked Public appear on the page. Anyone with the link can view it without signing in.
How do I give the caterer a live head-count link?
- In the left menu, choose Catering, then Caterer link.
- Pick the tour (or event) the link is for.
- Choose whether to Show check-in counts (live "checked in so far" against each meal) and Let the caterer add menus (they type a menu or attach a PDF per meal, and you are notified).
- Choose Create the link, then Copy link and send it to the caterer only.
The caterer sees what to prepare, never your costs. The two switches change the link they already have. Rotate replaces the link (the old one stops at once) and Revoke turns it off. The window also shows whether the link expires.
How do I set up the catering check-in iPad?
- Open the show and choose Check-in kiosk (or Check-in on the show's row in Catering).
- Choose iPad link, then Copy or Open.
- Open the link on the iPad at the catering door.
Crew tap their department and check in, with no login, and the counts appear live on the board. Use Regenerate or Disable link in the same window if the iPad is lost or the event is over.
How do I set up the time clock tablet at the stage door? (VenueOps)
- In Crew, open the Time clock tab and choose Kiosk link (top right).
- Choose Copy or Open, and open the link on the tablet at the stage door.
- On the tablet, choose Start camera (and Front camera or Back camera), or plug a barcode scanner into it.
Crew open My Badge in GigOps Crew and hold it up: the first scan clocks them in on their shift at that venue, the next clocks them out, and the screen shows their name, shift and the time. For a break, crew tap Meal break or Rest break above the camera before scanning, and End break when they are back; the tablet goes back to Clock in or out after each scan. Nobody signs in on the tablet. A crew member with no shift there, or scanning too early, is told to see a manager. Use Regenerate or Disable link in the same window if the tablet goes missing. Only people who can edit Crew can create the link.
How do I open media accreditation applications? (ActionOps)
- In the left menu, choose Broadcast, then the Media tab.
- Choose Accreditation form link, then Copy.
- Send it to press, photographers and broadcast crews, or post it.
Applicants fill in their name, outlet, email, role, the days they need and an optional headshot, and choose Send application. Applications land under Broadcast > Media, where you Approve (issuing a credential pass of the type you choose) or Decline. To close applications, choose Disable link.
How do I share the live results page? (ActionOps)
- In the left menu, choose Leaderboards.
- Choose Results link, then Copy.
The page shows live results for broadcast partners and the media room, with no login. Only comps with Board on the public results page ticked show their standings; the others show their schedule and status. Choose Regenerate or Disable link if the link is shared too widely.
Someone says my link shows "Link unavailable". Why?
The link was disabled, replaced with Regenerate (or Rotate), has expired, or the thing it points to was removed. Open the same window in GigOps, create or copy the current link and send it again. For a GigOps Sign link, the document may have been voided, replaced by a new version, or the signer changed.
Who can create and manage share links?
Company Users with an edit role (owner, admin, manager, ops, coordinator) can create, copy, regenerate and disable most share links: advance, will-call, public schedule, caterer, catering check-in, media accreditation, results and the scanner links. A Company Admin can also give someone edit access to a module in their access settings. Other links follow their module:
- Offers (PromoterOps): sending, withdrawing and recording answers is for owner, admin, manager, finance and legal roles.
- GigOps Sign links: edit access to Signatures.
View only seats cannot manage links.
