Scenarios

Scenarios lets you try what-if changes to a tour's budget, category by category, and save the versions you want to keep, without touching the real budget. In the left menu, under Money, choose Scenarios, or choose Scenarios at the top of Budget. Owner, Company Admin, Tour Manager, Finance and Legal seats can save scenarios; View only can look at them. Ops and Coordinator seats do not see it unless a Company Admin gives them access.

How do I model a budget change?

  1. Select the tour in the tours panel, then open Scenarios.
  2. Each budget category is a row with its Baseline amount.
  3. Drag the slider under Adjust (from half to one and a half times the baseline), or type an amount in the Scenario box and press Enter.
  4. The Δ column shows the change for that row.

The cards at the top show the Baseline total, the Scenario total, the Variance against the baseline and the percentage over or under it.

Where does the baseline come from?

The baseline for each category is the sum of its sub-category budget envelopes, plus any older lines that carry their own budget, converted to your company currency with the rates under FX rates. Money in lines are left out. If the tour has no budget lines or sub-categories yet, Scenarios asks you to add them first and offers Go to Budget.

Does a scenario change my budget?

No. Scenarios never change budget lines or envelopes. To make a change real, edit the budget in Budget.

How do I start over?

Choose Reset to baseline. Every row goes back to its baseline amount.

How do I save a scenario?

  1. Adjust the rows.
  2. Choose Save scenario.
  3. Name it and confirm.

It is saved on the tour and listed under Saved scenarios with its total, how far it was from the baseline when you saved it, when and who saved it. Everyone with access to the money modules sees the same list.

How do I open or delete a saved scenario?

Under Saved scenarios, choose Load to put its amounts back on the table, or Delete to remove it. If a category in the saved scenario is no longer in the budget, it is skipped and a message says how many; a category added since stays at its baseline.

Why is Margin impact empty?

The Margin impact card shows Add revenue to calculate: Scenarios models costs only and does not read revenue yet. For revenue and margin by show, use CFO view > Portfolio P&L.

Why does Save scenario say to select a tour first?

Scenarios are saved on a tour. Pick a tour in the tours panel, then save again.
