Runners

Runners handles errands: tasks such as picking something up or dropping it off, who runs them, where your runners are right now, and the expenses they log along the way. In the left menu, under Operations, choose Runners.

Runners is in TourOps, FestivalOps, ActionOps and CoralOps (not VenueOps or PromoterOps). Company Admins and Company Users with the Manager, Ops or Coordinator role can use it; Finance, Legal and View only seats do not see it unless a Company Admin turns it on for them. Runners are crew members, who work from the Runner tab in GigOps Crew.

How do I add a runner task?

  1. In Runners, click Add task (top right).
  2. Type the Task (required), for example Pick up dry cleaning, and any Details.
  3. Fill in Pickup and Drop-off.
  4. Optionally Assign runner (crew in the runner department are listed first), set the Priority (low, normal, high or urgent), the Show (optional) and Needed by (for example 3:00 pm).
  5. Leave Status as pending, or set it (see below).
  6. Click Add task.

The task appears on the Tasks tab, sorted with the most urgent first.

How do I approve, assign or update a task?

On the Tasks tab:

Use Open and All above the table to hide or show finished, cancelled and denied tasks.

How do I let any runner claim a task?

  1. Open the task with Manage (or create it with Add task).
  2. Leave Assign runner empty and set Status to approved.
  3. Click Save.

The task then shows under Available to claim in GigOps Crew. The first runner to tap Claim this task gets it, and it moves to Accepted.

What does a runner do in GigOps Crew?

On the Runner tab, a runner sees Your tasks and Available to claim. They step each task through Accept, En route and Mark complete; you see the status change on the Tasks tab. To appear on your live map, they tap Go on shift & share location, and End shift & stop sharing when they are done.

What do the task statuses mean?

How do I see where my runners are?

Open the Live map tab. Each runner on shift is a dot on the map and is listed under On shift now. Click a dot or a name to zoom to them and see the task they are on. The On-shift runners stat counts them. The map needs Google Maps to be set up for your workspace. To see runners and shuttle drivers together, use Dispatch.

How do runners log an expense?

In GigOps Crew, on the Runner tab, under Log an expense, the runner enters the Amount, a Category, what it was for, and which task it belongs to (or Not task-specific). They can attach a Receipt (photo or PDF) and tap Read the receipt to fill in the amount, category and description from it, then check them and tap Submit expense. The expense lands on the Expenses tab here as Pending.

How do I approve a runner's expense?

  1. In Runners, open the Expenses tab (the Expenses to review stat counts pending ones).
  2. Click Receipt to open the attached receipt, if there is one.
  3. Click Approve or Deny.

Click × to remove an expense.

How do I check a receipt with "Read receipt"?

On the Expenses tab, click Read receipt on an expense that has a receipt. GigOps reads the merchant, date, total and currency off the receipt and shows them next to what the runner typed, with a warning if the total differs from the amount typed.

Keep or correct the Amount, Currency, Category and Description, then click Save. Nothing changes until you save. This needs AI features enabled for your workspace and edit access to Runners.

How do I push a runner expense to the budget?

On the Expenses tab, approve the expense, then click Push to budget. GigOps adds it to the Budget as a line, and the expense shows "in budget". This needs edit access to the Budget (Company Admins, Manager, Finance and Legal roles by default).

Why can't I see Runners, or why can't I change tasks?

Finance, Legal and View only seats do not see Runners by default. A Company Admin can change this per person in Users & access, using Access on that person's row. Adding and managing tasks and expenses needs edit access (Company Admins, Manager, Ops and Coordinator roles by default). Runners is not part of VenueOps or PromoterOps.
