Offers

Offers is where a promoter writes an offer to an artist's agent: the deal, the ticket scaling and the show costs, with what they come to at a sellout. The agent answers on a private link with no account, and an accepted offer becomes the show with its deal. In the left menu, under Plan, choose Offers. Offers is part of PromoterOps only.

How do I write a new offer?

  1. In the left menu, under Plan, choose Offers.
  2. Choose New offer.
  3. Type the Artist.
  4. Pick a Room from your venue book (or leave it on Not in the venue book) and the Date.
  5. Choose Write the offer.

The offer opens as a draft on its own page, where you fill in the rest. A room from the venue book starts the show costs from that room's rent and cost defaults.

Can I write an offer from a show or from a room in the venue book?

Yes, from either place:

When a show already has an offer, its show page shows the offer's status and an Open offer button.

How do I fill in the deal, ticket scaling and show costs on an offer?

Open the offer from the list in Offers, then fill in the sections:

  1. Act and agent: Artist, Genre, Agency, Agent and Agent email (the offer link is sent there).
  2. Date and room: From the venue book, Market, Venue, City, Date and Capacity. Picking a room from the book fills the venue name and city.
  3. Deal: Deal type, then the Guarantee (it reads Rent for a flat rent or four-wall deal, and Floor for a door deal), Currency, Percentage, Split after costs (%) and Promoter profit (%).
  4. Ticket scaling: choose Add a ticket type for each tier, with its name, price and number of tickets.
  5. Show costs: choose Add a cost for each cost, with its category, description, basis (Flat, Per ticket or % of gross) and amount.
  6. Terms the agent reads: support, radius clause, merch split, production and so on.
  7. Internal notes: only your team sees these.
  8. Choose Save.

Per ticket and percent costs are counted at a sellout. When the offer is accepted, each cost becomes a budget line on the show.

What do the "At a sellout" figures on an offer mean?

The At a sellout panel on the right of an offer works out, as you type, what the deal comes to if every ticket sells:

The agent sees the gross, the costs, the net and the artist's share. Your share and the break-even stay with your team.

How do I send an offer to the agent?

  1. Open the offer in Offers.
  2. Check the agent's email under Act and agent.
  3. Choose Send to the agent (or Send revised offer when it has been sent before). What is on screen is saved first.
  4. Set Open until, the date the offer expires. It defaults to a week from today.
  5. Add an optional Message, or use Draft with AI to write one.
  6. Choose Send.

The agent gets a private link by email. The offer must have an artist, a date, a venue and a deal type before it can go out. Once sent, the offer is fixed: withdraw it if you need to change the terms.

How do I use "Draft with AI" for the cover note on an offer?

  1. Open the offer in Offers and choose Send to the agent (or Send revised offer).
  2. Next to Message (optional), choose Draft with AI.
  3. The message box fills with a short note to the agent built from the offer: the artist, date, venue, deal, terms note, expiry and, for a revised round, the agent's last counter.
  4. Read it, edit it, then choose Send.

Your internal notes are never used for the draft. If AI is not set up for your workspace, you see "Drafting is not enabled for this workspace. Write it by hand."

What if the agent has no email, or the email does not go out?

If the offer has no Agent email, or the email could not be sent, choosing Send shows the Offer ready to send window with the agent's link. Choose Copy link and send it to the agent yourself. You can copy it again later with Copy the agent's link on the offer page.

The link lets anyone who has it accept the offer, so only share it with the agent.

What does the agent see, and how do they answer an offer?

The agent opens the private link with no account. They see the deal, the ticket scaling, the show expenses, the figures at a sellout and your terms. They can:

You get a notification in the bell when the agent opens the offer, counters, accepts or declines.

How do I know if the agent opened my offer?

Open the offer in Offers. While it is with the agent, the banner at the top says when it was sent, whether it has been opened ("Opened ..." or "Not opened yet") and the date it is open until. The History list on the right shows every step: written, sent, opened, countered, accepted and so on, with who did it and when. You also get an "Offer opened" notification the first time the agent opens each round.

How do I answer a counter from the agent?

  1. In Offers, a counter shows as Countered, and the list says how many counters are waiting for your answer.
  2. Open the offer. The banner shows what the agent asked for and their note.
  3. Change the terms yourself, or choose Use their terms to copy the agent's deal type, guarantee and percentage into the form.
  4. Choose Save, then Send revised offer.

The revised offer goes out as the next round on the same link. You can also Withdraw it or Record the answer instead.

How do I change or withdraw an offer I already sent?

An offer that is with the agent cannot be edited. To change it:

  1. Open the offer in Offers and choose Withdraw, then confirm. The agent's link then says the offer was withdrawn.
  2. Change the terms and choose Save.
  3. Choose Send revised offer to send it again.

A declined or expired offer can also be revised and sent again. An expired offer needs a new Open until date.

How do I record an answer the agent gave by phone or email?

  1. Open the offer in Offers.
  2. Choose Record the answer.
  3. Pick Accepted or Declined under Answer, and add a Note (for example "Agreed on a call with the agent").
  4. Choose Record.

Recording it as accepted books the show exactly as the agent's own acceptance would, on the terms in the form.

What happens when an offer is accepted?

Accepting books the show. The offer page shows a Booked section with each step:

If a step could not be done, choose Finish booking to try again. An accepted offer cannot be edited or deleted: change the deal on the show.

Where is the signed record of an accepted offer?

When the agent accepts on the link, the banner on the offer says who signed it and when, with a terms code. Under it you find Sealed with GigOps Sign, with a Verification page link and Download signed PDF. The sealed copy can take a few seconds to appear after acceptance. An offer you recorded yourself says "recorded by your team" and has no signature.

How do I duplicate, print or delete an offer?

Open the offer in Offers, then:

What do the offer statuses mean?

The offers list has four tabs: Open, Accepted, Closed and All.

An offer expires on its Open until date if the agent has not answered.

Who can write and send offers?

Company Admins and Company Users with the Manager, Finance or Legal role can write, send and record offers. View only seats can read them. Ops and Coordinator seats do not see Offers by default, because offers are deal terms. A Company Admin can change this for one person in their access settings. GigOps Support never sees the agent's link.
