Operations
Incidents
Incidents is the health and safety and operations log: injuries, security issues, weather, lost and found, equipment problems and anything else the office needs a record of, with severity, status, who is handling it and how it was resolved. In the left menu, under Operations, choose Incidents. Pick the tour, festival or event in the panel above the menu first.
It is in every product. In CoralOps it is called Dive safety and in ActionOps Incidents & medical. Owners, Company Admins, Managers, Ops and Coordinators can log and edit incidents; Finance, Legal and View only seats do not see it. Crew report incidents from GigOps Crew.
How do I log an incident?
- Open Incidents and choose Log incident.
- Under What happened?, give it a short title (required), for example "Crowd surge at Main Stage barrier".
- Pick the Type, the Severity (Low, Medium, High or Critical) and the Status.
- Optionally pick the Day and Stage, and in ActionOps the Athlete.
- Enter the Location and when it Occurred (now, by default).
- Write the Details: what happened, who was involved, actions taken.
- Optionally pick who it is Assigned to.
- Choose Log incident.
High and critical incidents notify the Company Admins straight away.
What incident types can I choose?
The Type list depends on your product:
- Most products: Medical, Security, Weather, Lost & found, Ejection, Technical, Fire, Other.
- ActionOps: Athlete injury, Medical, Course hold, Weather, Equipment failure, Security, Crowd, Technical, Lost & found, Other.
- CoralOps: Medical, Equipment, Environmental, Near-miss, Technical, Other.
How do I update or resolve an incident?
Use the status list on the incident's card to move it to Open, In progress, Resolved or Closed; it saves straight away. To change details, reassign it or record how it ended, choose Open on the card (or click it). When the status is Resolved or Closed, a Resolution box appears: describe how it was resolved and choose Save. Crew who reported it see the status and resolution in GigOps Crew.
How do I find incidents in the log?
The cards at the top count Open, In progress, High / critical open and Resolved incidents. Use the All status, All severity and All type filters to narrow the list. Open incidents are listed first, highest severity first, then newest.
How do I write up an incident for the records?
- Open the incident from the log.
- Choose Write-up.
- GigOps drafts a write-up from the log entry, with a Title and the text.
- Check it against what happened and edit it.
- Choose Copy and paste it where you need it.
Nothing is saved or sent from the Write-up window. If AI drafting is not enabled for your workspace, the draft does not fill in and you write it yourself.
How do I delete an incident?
Open the incident and choose Delete, then confirm. It is removed from the log permanently. To keep a record but take it off the open list, set its status to Closed instead.
How do crew report an incident from GigOps Crew?
In GigOps Crew, crew open the Incidents tab and fill in Report an incident: a short title, the category and severity, the show (or not show-specific), the location, when it occurred and what happened. Then they choose Submit report. The Company Admins are notified straight away, and the report appears in the office log. Under Your reports, crew follow each report's status and resolution as the office works it. If someone needs urgent medical help, call emergency services first.
Who gets notified about incidents?
When a High or Critical incident is logged in the office, the Company Admins are notified. When crew report an incident from GigOps Crew, the Company Admins are notified whatever the severity.
What is the Medical panel in ActionOps?
In ActionOps, people who can read medical notes (owners, Company Admins, Ops, and the person a Company Admin made the medical lead) see Log and Medical panel buttons above the incident list. The Medical panel shows open athlete injuries and medical incidents, the athletes marked injured, and the athletes' medical notes with emergency contacts and coaches. Choose Log to go back to the full log.
Why does Incidents say "Select a festival first"?
The log is kept per tour, festival or event. Pick one in the panel above the left menu, then open Incidents again.
