Basics

Getting started

GigOps runs your tours, festivals, venues, promotions and events in one place. This page covers the basics every Company User needs: signing in, switching company and tour (or festival, event or market), finding your way around the left menu, the bell, light and dark mode, View only seats, and where to get help. Crew sign in to GigOps Crew instead, with their own crew login.

How do I sign in?

  1. Open GigOps in your browser.
  2. On the Sign in screen, type your Email and Password.
  3. Choose Sign in (or press Enter).

If your company requires two-factor authentication, a Two-factor verification box asks for the 6-digit code from your authenticator app. Type it and choose Verify. Lost your phone? Choose Use a recovery code and type one of the recovery codes you saved when you turned two-factor on. If GigOps has updated its Terms, you see Review our Terms first: tick the box and choose Continue.

I forgot my password. How do I reset it?

  1. On the Sign in screen, type your email in Email.
  2. Choose Forgot password?.
  3. Check your email for the reset link (it expires in 24 hours; look in your spam folder if it does not arrive within a few minutes).
  4. Open the link, type a New password of at least 8 characters, type it again in Confirm password and choose Set password.

A Company Admin can also send you a reset link from Users & access (Edit on your row, then Send password reset).

Why was I signed out?

GigOps signs you out after 30 minutes with no activity, so an unattended computer is not left open. You see "Signed out due to inactivity". Sign in again and you carry on where your data left off. A message saying your session expired means the sign-in itself ran out; sign in again.

How do I find my way around the left menu?

The left menu lists the modules your seat can use, grouped into sections such as Plan, Money and Operations (plus product sections like Festival, Competition or Venue). My day and Inbox sit at the top, Users & access at the bottom, and below it the list of shows (or days, or events) on the current tour.

Modules you do not see are either not part of your product, switched off for the company by a Company Admin, or outside your access level.

How do I switch to another tour, festival or event?

Your work is organised in tours (called festivals, events, programs or markets in the other products). Everything you see, such as shows, tasks and budget, belongs to the one that is open.

  1. In the top bar, choose the tour name next to your company name.
  2. Choose the one you want from the list.

You can also choose a tour card in the Tours panel at the top of the left menu. The same menu has + New tour, Edit current tour… and Manage tours…. GigOps remembers the last tour you opened, on every device.

How do I create a new tour or event?

  1. Choose + next to Tours at the top of the left menu (or + New tour in the tour menu in the top bar).
  2. Type a Tour name and fill in what you know: dates, currency, status, color and Crew member departments.
  3. Choose Create tour.

To edit or delete one later, open the tour menu in the top bar and choose Manage tours…, then Edit or Delete on its row. You cannot delete the only tour you have.

Can one company run a tour, a festival and an action sports event?

Yes. A Company Admin opens the tour menu in the top bar, chooses Manage tours… and Edit on its row, and picks its Kind: TourOps (a tour), FestivalOps (a festival) or ActionOps (an action sports event, offered while your company has the ActionOps modules). Company default follows your company's product. When you switch to it, the app takes that product's words, menu and modules. Only a Company Admin can change the kind; other seats can still edit everything else. CoralOps and VenueOps companies have no per-tour kind.

I work for more than one company. How do I switch?

If one login has a seat at several companies, your company name in the top bar has a small arrow.

  1. Choose your company name in the top bar.
  2. Choose the company you want. Each row shows your role there.

The page reloads in the other company. Notifications and My schedule (in the menu under your initials) show items from all your companies, labelled with the company name.

How do I switch between light and dark mode?

Choose the moon (or sun) button in the top bar. Light mode is the default. Your choice is remembered on this device only.

What is the bell, and how do I turn on push notifications?

The bell in the top bar shows your notifications: messages, approvals, changes to records you work on, and items such as tasks waiting for your review or blocked. A dot means something is new.

  1. Choose the bell to open the list. "You're all caught up." means nothing is waiting.
  2. Choose a notification to go straight to the record it is about. One from another company is labelled with that company's name and switches you there.

To get notifications even when GigOps is not open, choose your initials (top right), then Enable push notifications, and allow notifications when your browser asks.

What is in the menu under my initials?

Choose your initials (top right) to open it:

What is a View only seat?

View only is the free, read-only Company User seat. A View only user sees everything their access covers but cannot create, edit, approve or delete anything. You see a View only badge in the top bar, and buttons that would change something are hidden or greyed out. View only users can still use Ask GigOps, read their Inbox, change their own preferences and two-factor, and send bug reports. If you need to make changes, ask a Company Admin to change your access level in Users & access.

Where do I get help?

How do I report a bug or request a feature?

  1. Choose your initials (top right), then Bugs & feature requests.
  2. On the Send one tab, choose Report a bug, Request a feature or Share an idea.
  3. Fill in the summary (for a bug, What went wrong?), pick an Area, and for a bug a Severity.
  4. Add Details: for a bug, the steps, what you expected and what happened.
  5. Choose Send bug report (or Send request, Send idea).

Your name and the page you are on are attached automatically. The What you sent tab lists everything you sent and where each stands (Received, In progress or Being fixed, Done or Fixed, Closed). You get a notification when one moves.

How do I register a new company?

On the Sign in screen choose Register your company →, or, if you are already signed in, choose your initials and then Register new company. The sign-up steps ask for your company, the product you run (TourOps, FestivalOps, VenueOps, PromoterOps or ActionOps) and your first tour or event.
