Plan
Documents
Documents keeps your files in one place: riders, stage plots, contracts, permits, insurance, settlements, W-9s, invoices and anything else, for the whole tour (or festival, event or market) or for one show. In the left menu, under Plan, choose Documents. Owners, Company Admins, Tour Managers, Ops and Coordinators can upload and delete; Finance, Legal and View only seats can view and download.
How do I upload a document?
- In the left menu, choose Documents.
- Choose + Upload.
- Under File, choose the file. The Document name fills in from the file name; change it if you like.
- Pick a Category (Rider, Stage plot, Contract, Permit, Insurance, Settlement, W-9, Invoice or Other).
- Under Show / scope, leave the tour (all shows) or pick one show.
- Choose Upload.
Files can be up to 20MB. You can also upload from a show: open the show, choose Documents, then + Upload.
How do I find a document?
The list shows each file's name, category, show or tour, who uploaded it and the date, with the newest first. Use the All categories menu at the top to show one category only (for example Riders or Contracts). The count next to the title is the total number of files.
How do I download or delete a document?
On the document's row, choose Download to save it, or Delete and confirm to remove it. Deleting cannot be undone.
How do I see the documents for one show?
Open the show and choose Documents in its row of buttons. You see only that show's files, with Download, Delete and + Upload. Files uploaded for the whole tour are in the Documents module, not on each show.
How do I send a document for signature?
On a PDF's row, choose Send for signature. This starts a GigOps Sign document from the file, where you choose who signs and where. The button appears for PDFs when you can use the Signatures module.
What does "Attach to every venue booking" mean?
On a tour-wide rider or stage plot (one with no show picked), tick Attach to every venue booking and every venue you book on GigOps sees that file on its booking. Untick it to stop sharing it. This option appears in TourOps and PromoterOps.
Can the AI readers use a document I already uploaded?
Yes. Wherever GigOps can read a file for you (for example Parse email/rider… on a show's advance, or Check against rider…), the box offers Or choose a document you already uploaded. PDFs and photos (JPEG, PNG, GIF, WebP) from Documents appear in that list.
Why can't I upload or delete documents?
Uploading and deleting need an Owner, Company Admin, Tour Manager, Ops or Coordinator seat. Finance, Legal and View only seats can see and download documents but not change them. A Company Admin can change your access in Users & access.
How do I get a summary of a rider or a contract?
- Next to a document (in Documents, a show's Documents, or Venue profile > Documents & plans), choose Summarize.
- Choose Summarize in the window that opens.
GigOps reads the file (a PDF, a photo, or a text file, up to 20MB; a long text is read from the start) and lists what it is, the Key terms, Money, Dates, Hospitality, Technical needs and Red flags. The summary is kept with the document, so Summary opens it again, and Summarize again makes a new one. Check anything that matters against the document itself. The document's words are only read: anything written in it that asks the AI to do something is listed as a red flag. When AI is not set up for your workspace, the window says so and nothing is sent. View only seats can read a summary but not make one.
