Reports
Debriefs
Debriefs ask the people who worked a show how it went, then gather the answers per show and per tour. In the left menu, under Reports, choose Debriefs. You build your own forms, send one after a show to the Company Users and crew you pick, and read the summaries on the Answers tab. Debriefs belong to Planning: whoever can open Planning can read the answers, and whoever can add and edit tasks can build and send forms.
How do I build a debrief form?
- Choose New form (top right).
- Name it, and add a line for the top if you like.
- Add questions with the buttons under the list: Rating 1 to 5, Yes or no, Choice (one option per line, 2 to 12 of them) and Text. Tick Required on any that must be answered.
- Use Up and Down to reorder and Remove to drop one.
- Choose Save form.
A form holds up to 30 questions. Editing a form later never changes what an earlier send asked, and deleting a form keeps the answers it already collected.
How do I send a debrief after a show?
- On the Forms tab, choose Send on the form.
- Pick the show. Only shows on or before today are listed: a debrief goes out once the show is over.
- Tick the Company Users and crew to ask. The crew who worked the show come ticked.
- Choose Send debrief.
Company Users hear it on the bell and answer in a window in the app; crew hear it in GigOps Crew and answer on the To-Do tab. Sending the same form for the same show again adds the people you tick without asking anyone twice. View only seats cannot answer, so they are not on the list.
Can a debrief send itself after every show?
Yes. In the form (New form, or Edit on one you have), tick Send it by itself after each show, then choose:
- how long after the show it goes out, 1 to 14 days;
- every tour, or only one;
- The crew on the show (the crew who worked it, on the show or its tour), and any Company Users to ask as well.
Choose Save form. It starts with today's shows, so switching it on never asks about earlier ones. A show you already sent the form for by hand is left as it is, and cancelled or moved shows are skipped. The form list shows By itself, N days after each show under the form. To stop it, untick the box and save.
Who gets a debrief by email?
Anyone a notification cannot reach yet: a Company User with no browser notifications and no GigOps app signed in, or a crew member with no GigOps Crew app signed in and no browser notifications. They get the bell too, plus an email with a link to answer. Crew who have never set a password can use Forgot password, or never got your link? on the GigOps Crew sign-in page.
How do I answer a debrief?
Choose the debrief on the bell, or Answer under Waiting for your answers at the top of Debriefs. Answer the questions (those marked * are required) and choose Send answers. You can open it again later and change your answers.
How do I read the answers?
Open the Answers tab. Pick Every show, one tour or one show under Summarise.
- A rating shows its average and how many gave each score.
- Yes or no shows the counts, and a choice shows how many picked each option.
- Text answers are listed with who wrote them and the show.
Under each form a table lists every show it went out for: how many answered, each rating's average for that show, and who has not answered yet.
Why can't I build or send a form?
Building and sending take the same access as adding and editing tasks (owners, Company Admins, Tour Managers, Ops and Coordinators by default, or a person a Company Admin gave Edit on Planning). Others can read the answers if they can open Planning.
