Credentials

Credentials handles access passes: the zones (gates) a pass can open, the pass types (AAA, Local Crew, Photo...), the passes you issue to people, laminate designs and printing, and scanning to check a pass at a gate. In the left menu, under Operations, choose Credentials. The tabs are Passes, Requests, Types, Zones, Designs and Scan, with Print laminates, Export credentials, Bulk issue and Issue pass in the header.

It is in every product except CoralOps. Owners, Company Admins, Managers, Ops and Coordinators can edit; Finance, Legal and View only seats do not see it. If it is missing, a GigOps Admin may have switched credentials off for your company.

How do I get started with credentials?

Set things up in this order:

  1. Zones: the gates and areas a pass can open (Stage, Backstage, Pit, Catering, Parking...).
  2. Types: the kinds of pass, each granting a set of zones.
  3. Passes: one per person, of a type.

Then design and print laminates, or let people carry a digital pass, and scan passes at the gates.

How do I add access zones?

  1. Open the Zones tab.
  2. Choose Add common zones to add a typical set at once (Stage, Backstage, Pit, FOH, Dressing Rooms, Catering, Production Office, Loading Dock, Parking, Bus / Lot), or choose Add zone.
  3. For a new zone, type the Name and pick a Color, then choose Add zone.

Use Edit or Remove on a zone's row to change or delete it.

How do I create a pass type?

  1. Open the Types tab and choose New type.
  2. Type the Name (required), for example "All Access", and a short Badge code such as AAA.
  3. Pick the Kind and a Color (the colour band on the laminate).
  4. Under Grants access to, tick the zones this pass opens.
  5. Choose Create type.

Manage kinds lets you set your own list for the Kind menu (or Add common kinds). To retire a type, Edit it and untick Active; Remove deletes it, and passes already issued keep their details.

How do I issue a pass?

  1. Choose Issue pass.
  2. Pick the Pass type and the Holder kind (Crew, Company user, Guest, Vendor or Other).
  3. For crew, company users and vendors, pick the person from the list; this fills in the name and org. Otherwise type the Holder name (required) and Org / company.
  4. Set the Scope (the whole tour, or one show), the Format (Printed laminate or Digital (phone)) and the Valid from and Valid to dates.
  5. Optionally add a Photo (under 2MB) and Notes. A crew member's own photo is used if you add none.
  6. Choose Issue pass.

You can also choose Issue credential on a crew member's record in Crew.

How do I issue passes to a whole group at once?

  1. Choose Bulk issue.
  2. Pick the Pass type.
  3. Under Issue to, choose All crew, All company users, All vendors, or Approved guests for a show.
  4. Set the Scope / show (required for a show's approved guests), the dates and the Format.
  5. Choose Issue passes and confirm the count.

How do I edit, void or delete a pass?

On the Passes tab, each pass shows its holder, type, zones, show, valid dates and status. Choose Edit to change the name, org, scope, format, dates, photo, notes or Status (Active, Void, Expired). The type and holder kind cannot be changed once issued. Void stops the pass working at once, and scanning it shows VOID. Delete removes the pass but keeps its scan history. Filter the list by holder, status or show.

How do I print laminates?

Choose Print laminates in the Credentials header. GigOps prints every active, printed pass that matches the filters on the Passes tab, with your tour logo, the pass type's colour band, the holder's name and photo, the zones and a QR code. Digital passes are left out. Set the filters first to print just one show or one holder kind.

How do I design my own credential layout?

  1. Open the Designs tab and choose New design.
  2. Pick a Card size and orientation (Portrait or Landscape), and set a Background or upload Artwork (for example a full design with blank spaces).
  3. Place the holder name, access levels, QR code and other fields: drag to move, drag a corner to resize, arrow keys nudge, Delete removes.
  4. Use Preview with to see it with a real pass.
  5. Choose Save design.

A design can be assigned to pass types so each type prints on its own layout.

How do I export credentials for a card printer?

  1. Choose Export credentials (header or Designs tab). You need at least one design.
  2. Pick the Design (or "By pass type" to use each type's assigned design), the Pass type and the Scope.
  3. Leave Printed passes only and Active passes only ticked, or untick them.
  4. Choose the Output: a ZIP of PNG files, one per credential, or a print sheet (print or save as PDF). Pick a Resolution.
  5. Choose Generate.

The count above the button says how many credentials will be made, and how many are skipped because their type has no design.

How do I check a pass at a gate from the office?

  1. Open the Scan tab.
  2. Pick the gate in the zone list, or Any zone (identity only) to check who someone is.
  3. Choose Start camera and point it at the pass QR, or paste a pass token or link and choose Verify.

The result shows ACCESS GRANTED, ZONE DENIED, VOID, EXPIRED or NOT FOUND, with the holder's name, photo, type and zones. Recent scans lists the latest checks, including scans from gate devices. Scans today at the top counts them.

How do I give a gate guard a scanner with no login?

  1. Open the Zones tab and choose Public link on the gate's zone.
  2. Choose Enable public scanner link.
  3. Choose Copy link and open it on the guard's phone or tablet.

The link only checks access for that gate. If a device is lost, choose Regenerate (the old link stops working at once), or Disable to turn it off.

How do I set up the GigOps Scan app?

  1. On the Scan tab, choose Scanner app.
  2. Choose Create scanner app link.
  3. In GigOps Scan on the device, scan the QR code shown, or paste the link.

The device gets every zone, the credential list and the key that checks phone badges, so it keeps scanning with no signal, and its scans land in the scan log. Because it opens every gate, keep it to devices your head of security runs and give gate crew their gate's own link. If a device is lost, choose Regenerate and Rotate key. Printed badges are not affected by either.

What is the Requests tab?

When a date is shared with a promoter or a festival on GigOps (in Bookings), one company issues the credentials for that date and runs its gates, and the other asks it for passes. The Requests tab lists every such linked date on the tour, split into You issue the credentials and Another company issues them, with what is waiting, issued and allocated. A number on the tab counts asks waiting on you. Choose Open on a date to work it, or Open the link to go to the link itself.

How do I approve passes another company asks for?

On a date you issue (Requests tab, Open):

  1. Under "What ... can ask for", type a Limit for each pass type and choose Save limits. A blank or zero limit takes that type off what they can ask for.
  2. Under Waiting on you, choose Approve or Deny on each ask, or tick several and use Approve selected or Deny selected.
  3. Under Issued, choose Revoke to take back a pass.

An approval becomes a pass in your Credentials, valid that day, printed with your laminates, and your scanners know it at once.

How do I ask another company for passes for my people?

On a date another company issues (Requests tab, Open), Your allocation shows what you may ask for. Under Ask for passes:

  1. Pick the Pass.
  2. Tick crew from Your crew and people from Your team, or type anyone else by name under Anyone else, by name (Add another for more rows).
  3. Optionally add a note.
  4. Choose Send request.

Your requests shows each ask's status. Use Cancel on a waiting ask, or Release on an approved one. Crew on GigOps Crew carry an approved pass in the app; anyone else picks theirs up from the issuing company.

How do crew see and scan passes in GigOps Crew?

Crew see their passes under My Badge in GigOps Crew, including passes another company issued them on a linked date. Crew in the Security department, or whose role title includes "security", "guard" or "manager", also get a Scan tab: they pick a gate, choose Start camera and scan a credential QR, or paste a token.
