Counts
Counts are the box office's ticket numbers for a show: sold, gross, and later the drop. In PromoterOps, the Counts module (in the left menu, under Money, choose Counts) tracks every show's daily wraps, sell-through and sales pace. In VenueOps, you report counts on each booking, or many at once with Import counts… in Bookings, which reads a CSV or a pasted count email. Either way, a reported count goes to the other side of the booking or link.
How do I import counts for many events at once? (VenueOps)
- In the left menu, under Plan, choose Bookings.
- On the Venues tab, choose Import counts….
- With more than one venue, pick the Venue.
- Choose the CSV file tab to import a file, or Paste a count email to read a report.
The button appears once you have at least one held or confirmed booking, for owner, admin, manager, ops and coordinator seats.
What should my counts CSV look like?
One row per event, with a header row:
- event_date (YYYY-MM-DD) and sold to date are required. Fill in gross to date too; an empty gross counts as 0.
- Optional: currency, drop, room and artist. Room and artist tell apart two events on the same date.
Choose Download a template for a ready-made file. Pick the file under CSV file and choose Import. Files up to 500 KB and 500 events at a time.
My ticketing company's export has different column names. Will it work?
Often, yes. When the file's headers do not include a sold column and a date column GigOps recognises (for example "Tix Sold" or "Show Dt"), GigOps asks AI which column is which and sends its matches with the file, so you can import the box office's own export without renaming the columns. If AI is not enabled for your workspace, or it cannot match a column, the import uses the headers as they are, and rows it cannot read are listed as skipped. Renaming the headers to match the template always works.
How do I import counts from a pasted count email?
- In Import counts…, choose Paste a count email.
- Paste the daily count email or report from your ticketing company into the box, or under Or read a file (PDF or photo) choose the report as a PDF or photo (or one you already uploaded to Documents).
- Choose Read the counts. GigOps reads the events and their totals into rows.
- Check each row. You can fix the Date, Event, Sold, Gross, Cur and Drop right in the table, and untick any row that is wrong.
- Choose Report these counts.
Nothing is reported until you choose Report these counts. If no counts are found, the window says "No event counts were found in that text"; try a cleaner copy. Reading needs AI to be enabled for your workspace; without it you see "AI parsing is not enabled for this workspace. Import a CSV instead."
Can I import a PDF or a photo of the count report?
Yes. Choose Paste a count email, then under Or read a file (PDF or photo) choose the report, and choose Read the counts. You check the rows the same way before anything is reported. A CSV file goes under CSV file instead.
What happens on the booking when counts are imported?
Each row is matched to the held or confirmed booking (with a linked show) that plays that date. When two bookings share a date, the room or the act tells them apart. The count is then reported exactly as if you had entered it on the booking's Counts tab: the booking's sold, gross and drop update, your settlement defaults are refreshed against the new gross, any settlement signatures on the booking are cleared so both sides sign the new figures, and the other side gets a notification. The result says how many counts were reported on how many bookings.
Why were some rows not imported?
The result lists each skipped line with its reason:
- "No event date (YYYY-MM-DD)": the date is missing or in another format.
- "No sold count": the sold number is missing.
- "No held or confirmed booking with a linked show on" a date: there is no live booking that night, or the tour has not linked a show yet.
- Several bookings on one date: add the room or the artist to the row.
- A sold, drop or gross that is not a number of zero or more, or a currency that is not a three-letter code like USD.
Fix the rows and import them again; a later import replaces the earlier count.
How do I report counts for one booking? (VenueOps)
Open the booking in Bookings and choose the Counts tab. Fill in Sold, Gross, Currency, Drop count (night of) and optional Notes, and choose Report counts. Edit allocations records holds, kills and comps, and Count from picks the room's manifest. See the Bookings guide for the rest of the tab.
What does the Counts module show? (PromoterOps)
Every show with its count and pace, in tabs: On sale, Not on sale yet, Past and All. With several Markets, filter with All Markets. The tiles show Shows, Sold (against sellable), Gross (in dollars) and Behind pace. Each row shows Sold, Sell-through, Gross with the average ticket price, Last wrap (the day's sales and since when) and Pace (sold per day against what is needed per day to sell out). A show is On track, Behind pace or Sold out.
How do I enter a daily wrap? (PromoterOps)
- In Counts, choose Enter a wrap, or Wrap on a show's row.
- Pick the Show and the Wrap date.
- Fill in Sold to date and Gross to date (required), and Currency.
- Optionally fill in Capacity, Holds, Kills, Comps and Notes. Empty fields keep what the wrap before said.
- Choose Save the wrap.
The day's sales are worked out from the wrap before. When the show is linked to a tour, saving also reports the count to the tour on the promoter link, and the toast says so.
How do I import wraps from a CSV? (PromoterOps)
- In Counts, choose Import wraps.
- Choose Download the template. It lists your shows on sale with their ids.
- Fill in one wrap per row: the show (its id, or its date and venue), wrap_date, sold_to_date and gross_to_date; currency, capacity, holds, kills, comps and notes are optional.
- Pick the file and choose Import.
The result says how many wraps on how many shows were imported, and lists lines it skipped with the reason. A wrap for a day already entered replaces it.
How do I see, edit or remove a show's wraps? (PromoterOps)
Choose History on the show's row. It lists every wrap with Sold, That day, Gross, Holds, Kills and Comps, and whether it was entered, imported or came from a ticket feed. Choose Edit to change a wrap, or Remove to delete it (the count goes back to the wrap before). Enter a wrap adds a new one.
What do sellable, sell-through and pace mean?
- Sellable is the capacity less kills.
- Sell-through is sold as a share of sellable.
- Pace is sold per day since the on-sale date, counting both days. Needed is what is still unsold divided by the days left to the night.
A show under 40% sold at the halfway mark is behind pace, and the bell tells you once. Set the on-sale date on the show for pace to work.
Where does a show's count come from when several sides report?
One count is used, never a sum. The venue's report on a booking comes first, then the promoter's report on a promoter link, then your own entries and wraps. A count reported by another company reads "reported by the venue" or "reported through the link", and they correct it on their side.
Who can enter and import counts?
- VenueOps: reporting and importing counts needs an owner, admin, manager, ops or coordinator seat.
- PromoterOps Counts: entering, importing, editing and removing wraps needs an owner, admin, manager, finance, legal or ops seat.
View only seats read counts but cannot change them. A Company Admin can change a person's access, and that setting wins over the role.
