Competition
Athletes
Athletes is the field: every athlete invited to the event, with their discipline, club, nation, bib and status. Athletes use their own app, GigOps Athlete, to see their comps, results, travel and pass. In the left menu, under Competition, choose Athletes. It is part of ActionOps only.
How do I add an athlete?
- In the left menu, under Competition, choose Athletes.
- Choose Add athlete.
- Fill in First name, Last name and Email (all three are required) and Phone.
- Under Competition, set the Primary discipline, Category, Nation (3-letter), Bib, Federation ID, World rank, Club / team, Stance, Status, Date of birth and Sponsors.
- Under Contacts, add the coach, agent and emergency contact.
- Choose Add athlete.
The athlete is emailed an invitation to GigOps Athlete. If email is off, the message says so: send them the app link yourself. If they already have a GigOps login, you are told that too.
How do I import a start list of athletes?
- In Athletes, choose Import.
- Paste one athlete per line, comma or tab separated: first, last, email, nation, discipline, bib. Nation, discipline and bib are optional, and a header row is skipped.
- Leave Email each athlete an app invite ticked to invite them all, or untick it.
- Choose Import.
You can import up to 500 rows at a time. If some rows fail (for example a mistyped email), the window stays open and lists each skipped row with the reason, so you can fix them and import again.
How do I read an athlete list from an email or a messy list with AI?
- In Athletes, choose Import.
- Paste the start list, entry list or email, in any shape, into the box.
- Choose Read with AI.
- The box is rewritten as clean rows (first, last, email, nation, discipline, bib) and a line says how many athletes were read.
- Check the rows. Add an email to any athlete without one, or they cannot sign in.
- Choose Import.
Nothing is saved until you choose Import. Clubs are not imported this way: set them on each athlete afterwards. If AI is not set up for your workspace, paste comma-separated rows instead.
Can I import athletes from a file?
The Import window reads pasted text. To use a spreadsheet, copy the rows from it and paste them into the box, then choose Import (or Read with AI if the columns are not in the expected order).
How do I edit an athlete?
- In Athletes, choose Open on the athlete's card, or select their name.
- Change any field.
- Choose Save.
Changing the email moves their login to the new address.
How do I change an athlete's status?
On the athlete's card in Athletes, pick the new status from the list: Invited, Confirmed, Withdrawn or Injured. The change saves at once. You can also change Status inside the athlete's form.
How do I send an athlete the GigOps Athlete app link?
On the athlete's card in Athletes, choose Send app invite (or Resend app link if they have signed in before). The card shows Has signed in or Never signed in, so you can see who still needs a nudge.
How do I handle athletes under 18 (guardian consent)?
A Company Admin can turn on Require guardian consent for under-18 athletes in Company settings. It is off until someone turns it on.
With it on, an athlete whose Date of birth makes them under 18 shows Consent pending. Fill in Guardian name, Guardian email and Guardian phone under Parent or guardian on the athlete. When you add an under-18 athlete with a guardian email, or add the guardian email later and save, the guardian is emailed a private link. Athletes who were already on the list when the setting was turned on are not emailed by themselves: open each one and choose Resend consent link.
On the link, the guardian types their name, ticks that they are the parent or guardian and gives consent. The athlete then shows Guardian consent given with the name and time; the IP address is kept with it. Resend consent link sends a fresh link and the old one stops working.
The athlete can still sign in to GigOps Athlete while consent is pending; their comps say Awaiting guardian consent, and the start list shows it beside their name. Turning the setting off clears the pending marks but keeps every consent already given.
How do I change the list of disciplines?
A Company Admin opens Company settings (from the company menu) and chooses Manage disciplines under Disciplines. Every company starts from the built-in list.
- To add your own, type its name (for example "Women's Rail Jam") and choose Add. Adding a name you already had brings that one back rather than making a second.
- To stop offering one, choose Remove. Athletes and comps that already have it keep it, and their forms show it as "removed from the list".
- To bring a removed one back, choose Restore under Removed.
The list shows how many athletes and comps carry each discipline. The importer matches a discipline by its name as well as its key.
How do I find an athlete in the list?
In Athletes, type in Search name, email, nation…, or use the filters for discipline (All disciplines), status (All statuses) and club (All clubs). Only disciplines that someone in the field rides appear in the list.
How do I remove an athlete?
- In Athletes, open the athlete.
- Choose Remove and confirm.
Their comp entries and results go with them, so withdraw an athlete instead (set the status to Withdrawn) if they have already competed.
Who can see an athlete's medical notes?
The Medical section of the athlete form shows only to Company Admins and Ops seats. Other seats do not see the field at all.
What do the numbers at the top of Athletes mean?
- Athletes: everyone in the field except withdrawn athletes.
- Confirmed: athletes with the status Confirmed.
- Nations: how many nations are represented.
- Signed in: athletes who have signed in to GigOps Athlete at least once.
Who can manage athletes?
Company Admins and Company Users with the Manager, Ops or Coordinator role can add, import, edit and remove athletes. Finance, Legal and View only seats do not see Athletes by default. A Team Manager sees only their own club's roster here (see Clubs and teams).
What do athletes see in GigOps Athlete?
Athletes sign in to GigOps Athlete with the email you entered. The app has five tabs: My comps, Results, Travel, Pass and Alerts. They see their comps and start positions, their results and standings, their travel, and the pass they show at the start gate.
